Configurable Approval Chains

FileOrbis workflows are defined by administrators and associated with document categories, folder locations, or triggering events. A workflow specifies:

Participants and Roles Who must review and approve — defined by name, role, or directory group. Participant sets can be fixed (specific named indi-viduals) or dynamic (resolved at workflow initiation based on the document’s department, project, or content classification).

Sequence and Parallelism Steps can be sequential (each approver acts only after the previous step is complete) or parallel (multiple approvers act simul-taneously, with the workflow advancing when a quorum is reached). Mixed configurations are supported for complex multi-department review processes.

Decision Thresholds For parallel approval steps, workflows can require unan-imous approval, majority approval, or any single approval from the participant group before advancing.

Conditional Branching Workflow paths can branch based on approval out-comes, document classifications, or metadata values. A contract value above a defined threshold can automatically route to a senior approval tier without any manual intervention.

Time Limits and Escalation Each workflow step carries a time limit. If the required action is not taken within the defined window, the workflow esca-lates automatically — notifying the approver’s manager, routing to a backup approver, or alerting the workflow initiator with the current status.

Automated Notifications and Reminders

Every workflow event generates context-appropriate notifications:

  • When a workflow step is assigned, the designated reviewer receives an email and in-platform notification with direct access to the document and a clear description of the required action
  • When a deadline is approaching, automatic reminders are dispatched at configurable intervals
  • When a step is completed, the initiating user and the next-step participant are notified of the outcome
  • When a workflow completes, all participants receive a summary notifica-tion with the final disposition and a link to the audit record

Notifications are configurable per workflow and per participant — minimizing notification fatigue while ensuring that critical information reaches the right people promptly.

Version Control and Document Locking

FileOrbis maintains a complete version history for every document in a governed workflow:

  • Every upload, modification, and approval event creates an immutable ver-sion snapshot
  • Previous versions are accessible at any time through the version history panel
  • The current “approved” version is explicitly marked, preventing confusion about which version is authoritative
  • During active review steps, documents can be locked to prevent modifica-tions until the current review is complete

For documents that are actively edited by multiple contributors, FileOrbis pro-vides collaborative editing coordination — notifying users when a document is checked out for editing and preventing conflicting concurrent modifications.

Workflow-Integrated Audit Records

The FileOrbis audit trail captures not just file access events, but workflow events: who was assigned a step, when they acknowledged it, what decision they recorded, what justification they provided, and what time each transition occurred.

This workflow-level audit record provides the evidence basis for regulatory com-pliance: a demonstration that sensitive documents passed through defined re-view processes, with human authorization at each required step, before reaching their intended recipients.

REST API for Enterprise System Integration

FileOrbis exposes a full REST API that enables workflow integration with other enterprise systems:
